If the program finds more than one outstanding claim during the posting of an insurance check then the Insurance Payment May Match More Than One Claim screen will open on top of the Posting screen. This screen is similar to the Edit Insurance Tracking screen, but the data is limited to the patient you are posting an insurance payment for, and only the outstanding claims will be displayed. You are now given the opportunity to properly mark which claims this current insurance check is in response to. It is possible that the check may match more than one claim. You may have sent two or more claims to the carrier in rapid succession and the carrier may have responded by paying all the claims with one check. In that case, mark the claims that should no longer be considered outstanding. This is accomplished by clicking the Mark Received button to the right of the claim line item. As you click the button the current date will be written into the Date Received field for that item. By clicking inside the date field, you can enter a manual date.
All this happens while you are posting insurance payments in the Payment Entry screen. As already mentioned, you can access the same screen via the Utility Menu or the Insurance Reports menu.
If the insurance carrier did not send a check, but instead declined payment, that is still considered a response and should be marked as well. Not marking the claim would leave the item open and you would mistakenly consider that claim still outstanding. It would remain outstanding forever since payment for that claim would never come. If you received a pre-authorization you would mark that as received as well.
You will also have the option to delete the claim line item from the Insurance Tracking table. To delete an item, click on the Delete button to the left of the line item. If you don't wish to use the Insurance Tracking table as a permanent record, it is perfectly acceptable to delete items instead of marking the date as received. Once the item is deleted you are no longer tracking it. In that case only outstanding claims will remain in the Insurance Tracking table.
If you want to remove large numbers of items at once, use the Bulk Delete button at the bottom of the screen. You will have two options for deletion. One method will remove all claims that have been received. The other option will remove all claims that were generated some number of days previous. You will be asked to enter that number. For example, you could enter 120 and all claims generated 120 days ago or more would be removed. This would remove those claims whether they had been marked as received or not. |
