A patient account is named according to whomever is the Responsible Party. That is the person ultimately responsible for the balance. Each account has one, and only one Responsible Party. In addition to the Responsible Party, each account must have at least one patient. The patient may be the Responsible Party, but not necessarily. An account can have an unlimited number of patients. Charges accrued by the individual patients are added collectively to one Total Balance, and payments paid to the account reduce this Total Balance.
An account will consist of the following record types:
- Responsible Party Record - one per account
- Patient record(s) - one per patient
- Insurance Subscriber record(s) - one for each insurance subscriber associated with the account. If the account does not have insurance then it will not have an Insurance Subscriber record.
We will assume a family has come into the office and has filled out whatever registration information you feel is needed. From the Diamond Dental Software Main Menu click on the Accounts button. The familiar Patient Search screen displays. If you are editing an existing account you perform the search as usual. If you are opening a new account, you will click on the New Account button that displays on this type of search. After the search, the Account Entry screen displays.
Responsible Party Information
If you are opening a new account, the screen opens with the cursor in the First Name field. Enter the responsible party's name, address, and phone numbers. On the right side of each phone number field there is a little button that pops up an AutoDialer. The AutoDialer will dial the displayed phone number for you.
Commonly Used Address
Since the City, State, and Zip Codes that you enter for your patients are so often repetitive, the program can store common addresses that are frequently used. If the responsible party's city, state, and zip code are in your Common Address library, simply click the Common Address button. A Commonly Used Addresses pop window will display allowing you to select the appropriate address without having to type it in.
