Each account that is opened must have at least one patient.  There is no limit to how many additional patients are in an account, but the minimum is one. After you have filled out the responsible party’s information on the Account Entry screen, click the “Patients” button on that screen to open the Patient Entry screen.

Note that if this account has insurance, the insurance subscriber’s information is entered before entering patients. This is discussed in detail in the Insurance Subscriber section.

The people entered into the Account Entry and Insurance Subscriber screens do not have to be patients. They might be, but not necessarily.  When you enter a person into the Patient Entry screen, that means they are a patient and you will be performing dental procedures on them.

Remember that by the time you arrive at the Patient Entry screen, you have already filled out the responsible party’s Account Entry screen and the Insurance Subscriber screen. Diamond Dental will transfer whatever information might be duplicated on those screens into the Patient Entry screen, such as addresses, phone numbers, email addresses, birth dates, etc.

The Patient Name Entry Shortcut
When the Patient Entry screen opens the cursor will be blinking in the First Name field, waiting for your entry. If the patient’s name is the same as the responsible party (whom you have already entered), just press the letter “S” for same, and press Tab. The responsible party’s first name, middle initial, last name, senior/junior designation, title (Mr. Mrs., Ms., etc.), and salutation name will be pasted from the responsible party’s record into the Patient Entry screen for you. The cursor will then jump to the Patient Type field, which is unique to the Patient Entry screen.

Salutation Name
The Salutation Name field is how you want the patient addressed in correspondence.  Think of this name following the word Dear as in Dear John, or Dear Mr. Pennington.  When entering a new patient, the first name will automatically be entered for Salutation Name. Change it if you want.  This field is used for recall cards and merge letter writing with Microsoft Word.

Patient Type
Click on the Patient Type Combo Box and select the appropriate Patient Type.  The records of Patient Types are stored in the Patient Type table.  Patient Types are customized by you. A Patient Type is a label such as Private, Insurance, Blue Cross, Welfare, or anything you want. The Patient Type shows up on most reports and is used extensively as a report filter.
